DDPM Manager of Business Services

POSITION DESCRIPTION

The DDPM Manager of Business Services has expert knowledge and proven experience in managing financial operations for a professional services organization. The position will be a pivotal role on the DPPM team to accurately report on the divisional profitability of projects, forecasting of revenue and out of pocket expenses and overall data and contract management integrity for the group.

The candidate will have a proven track record of 5+ years of direct experience in financial operations within a professional services organization such as an advertising agency, PR firm, etc.

 

Essential Duties and Responsibilities
These duties include, but are not limited to, the following. Other duties may be assigned.

Resource Management and Project Accounting

  • Assist in the development and deployment of an enterprise wide project accounting system
  • Responsible to develop a common framework and establish controls for resource planning and Project Accounting management across the organization.
  • Establish a process to see billing through for reimbursable expenses and mark ups on out of pockets and map it back to revenue.
  • Creates and distributes monthly and quarterly dashboard reports to DDPM and TIF division leaders on:
    • Project Work in Progress, Status and Profitability to date
      • Costs by Property and profitability by Property
      • Out of Pocket Expenses by Client / Project / Property
    • Total Hours by Client / Division / Team Member
    • Forecast of Revenue and Expenses by Division / Month / Property
  • Manage compliance of estimating, IRR and Purchase Order Requisition system
  • Accountable for the data integrity of project accounting system by identifying data inconsistencies and communicating / training team members on the proper methods / processes
  • Serves as the system leader for the CRM system for DDPM and TIF
  • Stewards and Reports on the progress and changes for all TIF Partner Media Plans
  • Ensure teams understand and conform to standard processes for driving work and monitoring and reporting on project financials
  • Collaborate with Teams to ensure resourcing is appropriate for short and long-term needs
  • Lead the annual budget development effort for outsourced resources across the organization and provide recommendations for improvements

Contract Management

  • Responsible for developing and managing contract development process to ensure all stakeholders are involved in contract development
  • Accountable to ensure that contracts and project estimates are finalized and uploaded into the CRM and associated FJM file systems
  • Develop and maintain a database of contracts with associated billing and revenue recognition for both DDPM and TIF and ensure that all revenue and billing follows the contract schedule.
  • Establish and manage all TIF project and partner documentation so that it is “audit ready” and easily accessed and compiled.

Governance of Resource Management

  • Set policies & continued monitoring of proper implementation and adherence to the policies
  • Define Metrics to monitor operational performance / utilization.
  • Refine Project Level monitoring and performance.

Knowledge Management

  • Accountable and responsible to find, develop, house and communicate all Farm Journal Media Project Accounting materials (PowerPoint decks, proposals etc.) that correspond to Project Accounting and Resource Planning processes including SOPs, Process Guides etc.
  • Responsible and accountable to develop and facilitate or designate a facilitator for ongoing training on FJM project accounting and processes, as needed for new hires and at least twice annually for refresher and updates for existing team members
  • Attends team meetings on a regular basis to provide project accounting and resourcing updates / compile feedback on future needs

 

Skills/Professional Experience
These qualifications include, but are not limited to, the following:

  • S. in Accounting, Finance or related field
  • 5+ years of direct experience in financial operations for a professional services organization such as an advertising agency / public relations firm, etc. required
  • In-depth knowledge of CRM/ERP systems and developing processes around them
  • Proven experience in establishing operational metrics and developing analytics
  • High level of business acumen including a strong understanding of company financials and financial processes
  • Ability to inspire, motivate, and collaborate
  • Strong analytical and problem-solving abilities, along with an ability to collaborate cross-functionally.
  • Exceptional computer skills and strong working knowledge of core business software, such as MS Office
  • Attention to detail
  • Professional and customer friendly written and verbal communication skills
  • Strong organizational skills
  • Ability to work and manage calmly under pressure.
